What kinds of gear can I track?
Almost anything. GearDock.io was built with photo, video, and audio equipment in mind, but gear can be tools, laptops, test equipment, field equipment, event equipment, or anything else your team uses, shares, checks out, or needs to keep track of.
Is GearDock just for businesses?
No. GearDock works for individuals, businesses, nonprofits, production teams, organizations, and anyone else who needs a better way to keep track of gear.
Do I need to install an app?
No. GearDock.io works through your web browser, so you can use it from your phone, tablet, or computer without installing a dedicated app.

Yes. GearDock keeps track of who checked something out, when it left, when it’s expected back, and when it was returned.
Can someone check out several pieces of gear at once?
Yes. Add multiple items or kits to the cart and check them out together rather than processing each item separately.
Can gear be reserved ahead of time?
Yes. Reservations let your team plan for upcoming jobs, events, shoots, or projects while helping prevent scheduling conflicts.
Can certain gear require approval before someone takes it?
Yes. You can require approval for restricted equipment while allowing other gear to be checked out normally.
Does GearDock.io maintain a history of check ins and outs?
Yes. GearDock maintains the history of your gear, including previous checkouts and returns, so you’re not limited to seeing only where something is right now.
QR Codes & Labels
How do GearDock QR codes work?
Each individually tracked item can have its own GearDock QR code. Scan it with a phone to quickly identify the gear and, when signed in, access its GearDock record.
Do I need a special scanner?
No. Just point your phone’s camera at the QR code.
What happens if someone outside my organization scans my gear?
They can see a limited public page designed to help identify and return the gear. It can include information about the item and your designated return contact information, but it does not give them access to your GearDock account.
Can I print my own QR labels?
Yes. GearDock.io generates QR label sheets you can print yourself on a home or office printer. For professional vinyl decals, GearDock can also generate print-ready files you can send directly to your local printer for production.
Your Team
Can multiple people use GearDock?
Yes. Each person can have their own GearDock login rather than sharing an account.
Can I control what each person is allowed to do?
Yes. Administrators can manage permissions for individual users, including what they can view and whether they can check gear in or out, make reservations, approve requests, manage inventory, or view history.
Can I see gear checked out by other people on my team?
If you have the appropriate permissions, yes. GearDock is designed to give organizations visibility into where their gear is and who is responsible for it.
What happens when someone leaves my team?
Their access can be removed without erasing the history they created. Previous checkouts, returns, reservations, and other relevant activity remain part of your organization’s records.
Plans & Billing
Is GearDock.io free?
GearDock.io offers a Free plan for inventories of up to 50 items. It’s a practical way to use GearDock with a smaller collection of gear without paying for a subscription.
How much gear can I manage with the Pro plan?
GearDock Pro supports up to 2,500 items along with the additional features included in the current Pro plan. If you need more than 2,500 items, contact us.
Can I pay monthly or annually?
Either. GearDock Pro is available with monthly and annual billing.
Can I cancel anytime?
Yes. Canceling stops your next renewal if you are on the Pro plan, and you’ll continue to have access through the billing period for which you’ve already paid.
Security & Data
Who owns the information I put into GearDock?
You do. Your organization retains ownership of the information and records you put into GearDock. We use that data as necessary to provide and operate the service.
Can other GearDock customers see my inventory?
No. Your organization’s inventory and operational records are separate from those of other GearDock customers.
Does GearDock sell my personal information?
No. GearDock does not sell users’ personal information.
Does GearDock use my data to train AI models?
No. GearDock does not use customer data to train AI models. Some features may use AI or automation to perform a task you’ve requested, but that is different from using your information to train an AI model.
Can I export my information?
GearDock provides reporting and export functionality so you can take important information with you or maintain records outside GearDock.
What happens if I delete my organization?
Organization deletion includes a waiting period before it becomes permanent, giving you time to change your mind or export information you want to keep. Once permanent deletion is completed, the organization’s operational data may no longer be recoverable.
